Where to start with AI in your business
Start with the one problem that costs your business the most each week. Get a fix for it live inside 2 weeks, and only then pick the next.

You probably already know which job costs your business the most each week. It might be the enquiry that comes in at 9pm and waits till morning, or the quote that takes an evening to write and never gets followed up.
That job is where AI starts in your business. One job, fixed and working, before anything else gets touched.
AI is the reason Ostley exists. We think it’s the biggest change in how work gets done since the internet. The businesses that put it to work over the next year will be hard to compete with, and we’d like yours to be one of them.
Most businesses haven’t started
National AI Centre, AI Adoption Tracker, adoption and barriers · its last three months, read 1 October 2026
If you haven’t put AI to work in your business yet, you’re in the majority. About 1 in 4 Australian small and medium businesses actually use it. About 6 in 10 don’t plan to, or don’t know what it is.
The most common barrier is timing. Just over half, 52.8%, agree that “AI is moving too fast to know when to invest”. It’s a fair worry. Plan one big project around this year’s tools and it can be out of date before it’s finished.
Starting with one problem answers the timing question. The first fix is live inside 2 weeks and you watch it work in your own business. Then you choose the next one with that in front of you.
Doing it yourself in ChatGPT
You can ask ChatGPT tonight how to sort out your quoting, and you’ll get a sensible answer. Nothing changes on Monday, though.
A chat window doesn’t know your business, so it can’t tell you which problem to fix first. It also won’t build a system that runs in your business every day, or look after it once it does. Knowing what to fix first, and knowing how to get AI to build it properly, is the whole job.
We build with Claude Code, Anthropic’s coding tool, and we run Ostley itself inside it.
Nobody hands their customers and their payments to a system they haven’t seen work, built by someone they met last week. Fair enough. That’s the other reason to start with one problem. You see one fix working before you trust us with the next.
What counts as one problem
It happens every week, and you can count what it costs in hours or dollars. “Make us more efficient” is too broad to fix in 2 weeks. “Nobody follows up a quote once it’s sent” is the right size.
| Too broad | One problem | Fixed, as a number |
|---|---|---|
| Be more efficient | Nobody follows up a quote once it’s sent | Every quote followed up within 3 days |
| Win more work | Enquiries that come in after hours wait till morning | Every enquiry answered inside 5 minutes, day and night |
| Cut the admin | Each booking is typed into the calendar, then again onto the invoice | Each booking typed once |
| Use AI | Each quote takes an evening to write | Every quote out the same day |
Count the work you lose as well as the hours, because a slow reply can cost you the job. A 2011 Harvard Business Review study of US companies found that the ones that tried to contact an online enquirer within an hour were nearly seven times as likely to have a meaningful conversation with a decision maker as the ones that tried an hour later.
Finding yours
- List the jobs that come round every week. Replying to enquiries, quoting, booking, chasing invoices, typing the same thing into two systems.
- Next to each, write the hours someone spends on it in a week, and any work you lose because it’s slow.
- Circle the biggest. If two are close, take the one a customer is waiting on.
- Write one sentence for what fixed looks like, with a number in it. If you can’t, it’s still too broad.
Sometimes the fix isn’t AI
On the first call we work out what’s causing the problem and what fixed looks like, as a number. Sometimes the answer is a spreadsheet, or a setting in software you already pay for. If it is, we’ll tell you, and you keep the tools that already work.
AI is usually how the problem gets solved. The problem still comes first, and the tool second.
Live inside 2 weeks
Once we know the problem and the number, the fix is live inside 2 weeks. If the job is bigger than that, we split it, and the first part goes live inside the 2 weeks. It’s a limit we hold every build to.
From us
The fix, tested on your real work before it goes live. You see what it did in your own Ostley OS, the one place everything we build for you shows up. It carries your business’s name and colours.
From you
An hour across the 2 weeks for questions, and logins on the first day. One person on your side who can make the call when something needs deciding.
Nothing the AI writes goes out without your OK. A message you approve once goes out as written.
Then the next one
Once the first fix is working, we look at the next problem together. Each fix shows up in the same Ostley OS, so the system grows one working piece at a time, and every piece started as a problem you chose.
The first call is 20 minutes and free, on Google Meet or in person. Bring the one thing that’s costing you the most, and the sentence with the number in it if you’ve written one.
